Business Meeting - Useful or waste of time?

Make your meeting meaningful

Most often meetings are considered as useless affair by employees.Why?,There are many reasons that meetings are meaningless.I have indeed attended hundreds of meeting during my tenure of service and I also found that most of the time meeting was not that fruitful as it should have been.In my Blogs I have decided to provide articles with TIPS only as today time is equally important.Tips are useful because we understand better in short time.
Tips to make any Meeting Meaningful
  1. Meeting may be a good tool for achieving any target,if the same is organised with certain discipline.Meeting should be to-the-point with focused topic.Forum should not deviate from the subject to avoid waste of time.
  2. Every participant should have intimation well in advance about Agenda,Venue and Time with end schedule. Organizer should maintain time schedule accordingly.Maintaining time schedule is possible with little extra efforts and also by co-operation from all participants.
  3. Meeting if headed by any senior official,he or she should also adhere to the time schedule keeping in mind that participants are equally busy with their pending work.
  4. Meeting should start as per Agenda and head of forum should prepare points for discussion well in advance to save time.
  5. All participants should rearrange their pending jobs according to the meeting-schedule and every participant should reach in the meeting-room five minutes before the start-time.
  6. All participants are also required to prepare according to the Agenda so as to have fruitful discussions in the forum.If any participant gives correct feedback or data during discussion,everybody in the Management appreciates and thus we may get special attention in future.(It is an opportunity for an employee to show performance)
  7. We should be a good listener and interruption during discussion should be avoided.If you want to say something relevant to the point being discussed,you can raise your hand and Head of forum should give you chance for speaking.
  8. Every participant should maintain discipline,keeping in mind the status of other participants and undue arguments should strictly be avoided.   
  9. One person should be made responsible to make records of output of the meeting with details of action taken,by whom and by when.This record will again be important for review in the next meeting.
  10. Every participant should also note down if any responsibility is given and also other important points / Data etc. if come across during the discussions.
  11. HEAD OF FORUM SHOULD ENSURE TIME-FRAME AND SHOULD INITIATE FOR CLOSING.HOWEVER 10-15 MINUTES PLUS / MINUS SHOULD NOT BE A ISSUE.
